This Privacy Policy explains how Observer ("we", "us") collects, uses, and protects your information when you use the Observer desktop application and related services.

We collect only the information necessary to operate and improve Observer:

• Audio is processed in real time and is not stored by Observer
• Transcripts, notes, and AI chat are stored encrypted via Private Vault (encrypted on your device before upload) — see our Security page

We use your data to:

• Provide and operate the Observer app
• Generate AI responses, transcripts, and meeting notes
• Process payments and manage subscriptions
• Respond to support requests
• Improve product performance and features
• Comply with legal obligations

We do not sell your personal data.

Observer uses trusted third-party services to process certain data:

• Audio is processed in real time by our speech-to-text provider (Deepgram).
• Transcripts may be processed by AI providers (such as OpenAI or Google Gemini) to generate responses and notes.
• Account and application data are stored securely using our backend infrastructure.
• Payments are processed by our payment provider, Paddle, which acts as the merchant of record.
• Observer does not store or have access to your full payment card details.
• Payment and billing information is collected and processed directly by Paddle in accordance with their privacy policy and applicable regulations.

These providers process data only as needed to deliver functionality and do not use your data for their own training purposes under our agreements.

• Account data: retained while your account is active
• Transcripts and notes: stored to provide product features, and deleted upon account deletion (or within a reasonable period)
• Audio data: not stored by Observer
• Support communications: retained for support and operational purposes
• Billing data: handled by our payment provider and retained as required by law

Depending on your location, you may have the right to:

• Access your personal data
• Correct inaccurate data
• Request deletion of your data
• Object to certain processing
• Request data portability

Observer uses industry-standard security practices to protect your data, including encryption in transit and access controls.

Private Vault encrypts meeting transcripts, notes, and AI chat on your device before they are stored, so we cannot read that stored content in our database. See getobserver.app/security for a plain-language explanation.

No system is completely secure, and we cannot guarantee absolute security.

Your data may be processed in the United States and other countries where our infrastructure providers operate.

Observer is not intended for users under 16. We do not knowingly collect data from children.

We may update this Privacy Policy from time to time. Continued use of the app after updates constitutes acceptance of the revised policy.
